Plan and manage all operations for Facility Events year-round, including the US Open and all Special Events.
Oversee and direct Loading Dock Operations: Develop task list and implement operational plans for seasonal NTC/US Open Shipping & Receiving requests. Manage seasonal staff engaged in the day-to-day Shipping & Receiving functions (including off seasonal mail deliveries).
Oversee and direct US Open Beverage Operations: Manage seasonal staff engaged in day-to-day order/delivery functions including off-season deliveries of all water/coffee supplies. Keep and update distribution file for all departments. Maintain inventory of proper equipment in and out of facility. Contact vendors for product supply orders for US Open. Create bill-back invoices for US Open orders outside delivery parameters
Plan and manage distribution of all FF & E items with Facility Events Staff and to include Television deployment, A/V equipment, and event & office furnishings, to meet event/staff needs. Responsible for assessing facility capabilities and carrying out all necessary storage, inventory and distribution. Test all equipment and contact vendors for maintenance/supply needs.
Work closely with Manager, Community Relations & Events to develop special events budget, management of all event needs for execution and be the liaison between Client/Promotor for all event logistics. Coordinate with Facility Operations as well as other departments to ensure all parties involved are updated with needs and logistics plan as well as schedule and execution of task list and development and management of the event budget.
Manage the procurement, scheduling and coordination of all activities related to the build out of Club PC to include the building of infrastructure and all necessary equipment needed.
Determine and create hiring plan for Events, Loading Dock, and Beverage Operations. Manage activities of workers engaged in set up and breakdown of the US Open, year-round operations and all Special Events. Closely monitor and adhere to schedules to limit excessive hours worked and keep within budget.
Conduct bi-weekly ADP payroll approval for staff and manually encode hours worked to appropriate budget allocations.
Develop and manage implementation of office room layouts and operations plans in preparation of US Open White Plains staff relocation. Work closely with Director, IT Professional Tennis and USTA White Plains mailroom staff to coordinate move-in dates.
Assist USTA Tournament Operations department during US Open in accommodating requests i.e. Hawk-eye daily water deliveries, delivery needs, anti-doping daily sample pick-up and deliveries, etc. Work closely with Director, Tournament Operations and supporting staff.
Work closely with USTA Sponsorship & Marketing departments to ensure contract parameters for donated products.
Provide operational and logistical support for Arthur Ashe Kids’ Day outdoor activities and team with USTA Marketing/Media staff to implement initiatives.
Provide operational plan(s) and necessary support for all US Open Sponsor giveaways, working with USTA Marketing/Sales staff.
Produce and archive US Open/special event photos for record and reference. Keep and organize hardcopies as well as updated digital files.
Other duties as assigned by Senior Director, Facility Operations.
Completion of annual performance objectives established by Senior Director, Facility Operations.
